When you contact us
We use the name, email address, topic and message you provide, together with your organisation when supplied, to respond to your enquiry and to prepare or carry out a possible engagement. Direct email correspondence is handled for the same purposes. We do not add contact details to a marketing list or use them for profiling or automated decisions.
Depending on the enquiry, processing is based on steps you request before a contract, performance of a contract, or our legitimate interest in answering professional enquiries and keeping appropriate business records. We use technical security data on the basis of our legitimate interest in protecting the website and preventing abuse.
Retention and recipients
We keep correspondence for as long as the enquiry and any resulting work require. Relevant legal record-keeping duties and the establishment or defence of legal claims may require longer retention. Hosting and email providers process data for Albir under their service arrangements. Information may also be shared when legally required or with professional advisers when necessary. Personal data is not sold.
Contact-form security
When the form is enabled, a strictly necessary session cookie, ALBIRCONTACT, connects the form to a random server-generated security token. It is not used to track visits for marketing. The cookie normally expires when the browser session ends; browsers may restore session cookies when restoring a session. Form tokens expire after one hour. The checks use the server clock, not your device clock, and the form works without JavaScript.
The form also uses a hidden anti-spam field, input validation and submission limits. A keyed hash derived from the connecting IP address and submission times are kept in private server storage for rate limiting. Only the preceding hour counts; older records are removed on a subsequent rate-limit check or maintenance run. The session stores security tokens and a short-lived submission receipt, not the name, email or message. Session-file cleanup depends on the hosting configuration.
Form messages are transferred through an authenticated, encrypted connection to the configured mail server. They are not saved in a website database. The visitor's IP address is not included in the notification email. Acceptance by the mail server is not a guarantee of inbox delivery. If the form is unavailable, you can contact Albir directly by email.
Technical logs
The hosting provider may record the connecting IP address, requested URL, time and browser information for security, availability and troubleshooting. The form's application log is limited to generic technical error categories: it does not deliberately log the submitted message, email address or SMTP credentials. Provider logs have their own retention arrangements.
Your rights
Within the conditions set by the GDPR, you may request access, correction, erasure, restriction or portability, or object to processing. Contact info@albir.be. You may also lodge a complaint with the Belgian Data Protection Authority.
Cookies and external links
No analytics or advertising cookies are intentionally installed. The enabled contact form uses only the necessary security session described above. The site does not load an external form service or external webfonts. External websites have their own privacy practices.
